Document Conversion

Students who qualify for textbooks in an alternate format are required to submit a request for each textbook they will need for the semester.  This can now be done online!  Before beginning the Document Conversion Request, students should have correct textbook information.  This information can be obtained by contacting the instructor, the academic department offering the course, and/or the bookstore. Incomplete or incorrect Document Conversion Requests will delay the processing of textbooks!

In order to ensure delivery of converted texts in a timely manner (in time for use in the scheduled class) students must pre-register for classes and place complete requests within two weeks after pre-registration.

Requests are processed on a first-come, first-served basis once hard copy textbooks are provided to the Assistive Technology Lab, not  when the request is submitted. 

Requests are processed on a first-come, first-served basis. If a student must place orders for textbooks and they have not yet arrived, the student may turn in paperwork with a notation that books are on order so that the request will hold its position in the scheduling queue; books may be brought to the office when received.

Students who have ordered textbooks that have not yet arrived should:

  • Submit an online Document Conversion Request and
  • contact the Assistive Technology Lab regarding the status of textbooks.  (The request will hold its position in the scheduling queue.)
  • Take textbooks to the Assistive Technology Lab when received.

If a course lineup changes after requests have been placed (due to dropping a class, adding a class, or withdrawing from school) the student should notify us immediately.

Summary of Conversion Process

  1. Purchase textbooks or obtain correct and complete information on texts needed.
  2. Complete online Document Conversion Request.
  3. Deliver hard copy textbooks to the Assistive Technology Lab (ARKU 103) as soon as possible.
  4. Pick up alternate media and textbooks from Assistive Technology Lab.

Alternate Resources

If a student does not provide complete information and materials in a timely manner, we cannot perform conversions in a timely manner. In case materials are not available on the requested delivery date, we strongly recommend that students become familiar with assistive technology that will help them access texts on their own. Such technology may include, but is not limited to:

Students are welcome to ask for assistance from Assistive Technology Lab personnel or our office in learning how to use these programs.

For those students who use alternative text, we also recommend personal memberships in Recording for the Blind and Dyslexic (RFB&D) at http://www.rfbd.org and Bookshare.org at http://www.bookshare.org . These entities maintain materials, including leisure and supplemental readings, that CEA is unable to convert. They provide faster service to individuals than to the CEA through our group membership.  Materials obtained through RFB&D may be available in DAISY format.  Materials from Bookshare.org may be available in text, HTML, MS Word, and/or DAISY formats.
